About Books for Keeps (BFK): Books for Keeps exists to inspire joyful experiences around literacy that can be forever associated with learning. Founded by volunteers in Athens, GA, in 2009, Books for Keeps has since distributed more than 1.5 million books to children, teachers, fellow peer agencies, and other individuals through various book access programs.

The role: The Book Operations Manager runs critical work on Books for Keeps’ book distribution programs, with their primary responsibilities include volunteer management, new and used book inventory management, and maintaining the Books for Keeps warehouse throughout the year.

Volunteer Management - 40%
● Implement a comprehensive and consistent training program for volunteers in the warehouse during the year and in schools during spring book distributions.
● Establish and maintain relationships with individual volunteers, service groups, and interns in our book warehouse and at our service schools.
● Implement a “Key Volunteers” program that consistently acknowledges and supports volunteers who go above and beyond.
● Create and maintain innovative processes to continue growing volunteer recruitment, registration, training, recognition, and engagement. This includes developing outreach strategies, facilitating the onboarding of volunteers, and fostering a dynamic and engaged volunteer community.
● The Book Operations Manager runs volunteer shifts, and maintains the volunteer shift calendar, including posting up-to-date opportunities for volunteers to support through the GivePulse platform.
● Maintain and update necessary volunteer paperwork, manuals, and personal information.
● Track hours contributed by volunteers and keeps staff up to date with current reporting
through the fiscal and calendar year.
● Coordinate with staff to maintain customer relationship management processes for
volunteer/donor stewardship.

Warehouse Management - 20%
● Maintain stock of supplies for operations in the warehouse.
● Maintain a safe, clean warehouse environment.
● Adhere to a routine maintenance schedule for warehouse equipment upkeep.
● Maintain a system for processing book donations based on established standard
operating procedures.
● Prepare for each volunteer session with all tools, instructions, demonstrations and goals
prepared ahead of time, including when delegating the supervision of a shift.
● Prepare warehouse for annual fall book fair, including organization, set up, maintenance,
and training volunteers.
● Ensure Bookmobile is maintained, primarily by ensuring it’s started once a week and
bringing to mechanics as needed.

Operations Management - 40%
● Oversee and prepare for all incoming and outgoing new and used book inventory for book access programming.
    This programming includes:
        ○ Spring Book Distributions
        ○ Bookmobile Community Engagements
        ○ Community Book Requests
        ○ Community Book Drives and donations
        ○ Pre-K Book Bundles
● Research and purchase books for programming, primarily Spring Book Distributions and Pre-K Book Bundles.
● Maintain lines of communication with our service schools and appropriate school liaisons (currently 17).
● Maintain an up-to-date digital inventory of books throughout the year.
● Responsible for maintaining the stock levels for “Brittany’s Book Bank” throughout the year and coordinates with staff for when the public may be available to browse.
● Coordinate with staff in responding to requests from community partners, including Bookmobile events, book pick-ups and drop-offs from community partners.
● Participate in regular meetings and discussions with the team to evaluate progress, identify challenges, and develop actionable solutions for improving the overall efficiency and impact of Book Access programming.

Additional program support, dependent on applicant’s skillset, can include:
● Cultivates relationships and grows awareness within the Athens community, particularly members of Athens’ Latiné and African-American communities.
● Performs additional duties as required and as appropriate to the experience and skills of the applicant within reason.

Required skills:

● Must possess critical-thinking and problem-solving skills and a high level of organization.
● Quick learner with a track record of working effectively with minimal supervision.
● Enjoy working with people, able to lead volunteers, maximize their potential impact on the organization, and anticipate their needs.
● Demonstrated written and oral communication skills – both internally (fellow employees, board members and volunteers) and externally (stakeholders, funders, and community supporters).
● Demonstrated cultural sensitivity, critical consciousness, and ability to work across lines of difference.
● Strong computer skills with proficiency making work documents, slides, and
spreadsheets (e.g. Microsoft Word, PowerPoint, Excel, and GSuite equivalents).

Preferred background/experience:
● Managing or coordinating volunteers.
● A bachelor’s degree in social work, education, community development, public administration, or related field and/or equivalent years of relevant experience.
● Program development, childhood literacy, data evaluation, social service, warehouse
management.

Work demands:
● Must be available for some night and weekend work, typically two Saturdays per month (usually for only a half day of work), and one night per week. Book distributions at elementary schools will require early-morning availability during a seven-week window in the spring.
● Must have a driver’s license and access to a car for in-town travel, book donation pick-ups, and occasional in-state travel to service locations within a two-hour drive of Athens.
● Must have a personal cell phone available for work use. Organization provides a monthly, flat reimbursement for this purpose.
● Must be able to lift a 40-pound box of books and be able to stand on feet for long periods of time.
● Willingness to operate a forklift, pallet jack, and mid-size school bus (training will be
provided).

Benefits and salary: Salary budgeted for this position is $48,000 annually.

        receive a health stipend to be distributed monthly and used at the employee’s

    ○ Books for Keeps utilizes a “minimum paid-time off” leave structure that
        encourages all staff to take at least one additional day of paid time off each
        month and five consecutive days off at least once per year.
● Flexible working hours and location to be co-authored with the employee
● Monthly mental health reimbursement of $50 to encourage out-of-work activities
● A Simple IRA retirement account with an up to 3% employer match.
